The “Conference” means the ANZAAE National Conference 2027, being held from Wednesday 14 to Friday 16 April 2027 at the University of Auckland and Auckland University of Technology in Tāmaki Makaurau Auckland.

“Icon Conference and Event Management” means the Professional Conference Organiser managing registrations for the Conference.

Registration and payment

Submitting a registration reserves a place subject to availability, full payment and these terms and conditions.

You will receive a confirmation email and either a receipt for credit-card payment or an invoice. Please check the details carefully and advise Icon Conference and Event Management of any changes, including dietary or accessibility requirements, by emailing dean@iconevents.co.nz.

Invoices are due by the 20th of the month following the invoice date. Prompt payment is appreciated and assists with Conference planning and budgeting.

All registrations made during 2026 must be paid in full by Sunday 21 February 2027. ANZAAE may cancel any registration that remains unpaid after this date. The cancellation terms below will also apply to unpaid registrations.

A registration is confirmed once the applicable registration fee has been paid in full.

Payment plans, deposits and split payments are not available.

Admission to the Conference will not be granted until the registration fee has been paid in full.

Conference registration fees do not include travel or accommodation.

Cancellations and refunds

We highly recommend transferring your registration to another person rather than cancelling.

All cancellations must be submitted in writing to Icon Conference and Event Management at dean@iconevents.co.nz.

The following refund conditions apply:

• Cancellations received on or before Wednesday 23 December 2026: full refund of the Conference registration fee.
• Cancellations received from Thursday 24 December 2026 to Sunday 21 February 2027: 75% refund of the Conference registration fee.
• Cancellations received from Monday 22 February, no refund.

ANZAAE recognises that exceptional circumstances may arise. Requests for special consideration may be submitted by email to Icon Conference and Event Management at dean@iconevents.co.nz. Requests will be considered individually by the Conference Organisers but cannot be guaranteed

These terms also apply to registrations with unpaid invoices. Not paying or ignoring an invoice does not automatically cancel a registration.

Approved refunds will be returned to the original payer using the original payment method where possible. Please allow up to 20 business days for processing.

Cancelling your Conference registration will also cancel any accommodation booked through the registration process with Icon Conference and Event Management. Hotel cancellation fees may apply in accordance with the relevant accommodation terms and conditions.

Attendees are responsible for cancelling their own travel and any other arrangements made independently. ANZAAE and Icon Conference and Event Management are not responsible for costs or losses arising from these cancellations.

We recommend purchasing suitable travel insurance covering registration cancellation, travel, accommodation, medical expenses and other potential Conference-related losses.

Substitutions

We highly recommend transferring your registration to another person if you can no longer attend.

Substitutions may be made at no additional cost. Requests must be submitted in writing to Icon Conference and Event Management at dean@iconevents.co.nz before the Conference.

Workshop places and other limited-capacity activities will be transferred where possible but remain subject to availability.

Registration types

Standard Conference registration covers all three days of the Conference.

Alternative registration arrangements may be considered under special circumstances. Approval is at the discretion of ANZAAE, subject to availability and the circumstances of the request. Submitting a request does not guarantee that an alternative registration type will be approved.

Workshop selections

Workshop selections will open within the month before the Conference and will not be available earlier.

Practical workshops have limited capacity. To provide fair access for all attendees, ANZAAE may:

• limit the number of workshops each attendee can initially select;
• prevent attendees from selecting overlapping sessions;
• operate waiting lists; or
• release additional workshop places at a later date.

Workshop places are not confirmed until a selection has been successfully completed.

Be considerate to your national colleagues. Please do not reserve workshop places you do not intend to use. If you can no longer attend a selected workshop, please advise Icon Conference and Event Management promptly so the place can be offered to someone else.

Presenters

All presenters must complete a registration for the Conference.

Presenters attending only to deliver their presentation or workshop, without attending other Conference sessions or activities, will not be charged a registration fee. A unique registration link will be provided closer to the Conference.

Presenters wishing to attend other parts of the Conference must register and pay the applicable fee.

A discounted registration rate will be available for presenters delivering extended three-hour workshops, particularly presenters delivering two three-hour workshops in lieu of your service to your national colleagues and our wider visual art education community. 

ANZAAE may alter the programme or add, replace or withdraw presenters where necessary. Reasonable programme changes do not entitle attendees to a refund.

Name badges and admission

Conference-issued name badges must be worn while attending Conference sessions and activities.

Name badges are issued to registered attendees and must not be shared or transferred without approval from Icon Conference and Event Management.

ANZAAE reserves the right to refuse admission to, or remove from the Conference, anyone whose behaviour is unsafe, unlawful, harassing, discriminatory or seriously disruptive to attendees, presenters, staff or contractors. Depending on the circumstances, a refund may not be provided.

Photography, filming and recording

Photography and filming may take place throughout the Conference. Attendees may appear incidentally in photographs or recordings of Conference sessions, activities and shared spaces.

ANZAAE may use this material for reporting, educational or promotional purposes, including its website, Resource Hub, email communications and social media.

Attendees with concerns about appearing in photographs or recordings should contact Icon Conference and Event Management before the Conference or speak with the registration desk onsite.

Separate consent will be sought from presenters if their presentation is selected for recording. Presenters will have an opportunity to review and approve the recording before it is shared through ANZAAE’s online spaces.

Exhibitors and sponsors

Exhibitors and sponsors may invite attendees to have the QR code on their name badge scanned or to provide their contact details. This is optional.

By agreeing to provide or scan your details, you consent to the relevant organisation receiving your information and contacting you in accordance with its own privacy and communications policies.

Requests to stop receiving those communications must be made directly to the relevant organisation.

Programme and presenter views

The Conference programme is subject to change. ANZAAE may alter session times, rooms, content, activities or presenters where reasonably necessary.

The views expressed by attendees, presenters, speakers, exhibitors and sponsors are their own and do not necessarily represent those of ANZAAE or Icon Conference and Event Management.

Presenters, exhibitors and sponsors are responsible for the content of their presentations, displays, advertising and other published material.

Cancellation, postponement or change to the Conference

ANZAAE may cancel, postpone, relocate or change the format of the Conference due to circumstances beyond its reasonable control.

These circumstances may include natural disasters, fire, flood, severe weather, public health emergencies, government restrictions, industrial disruption, terrorism, civil disturbance, venue unavailability or other events ANZAAE could not reasonably prevent.

If the Conference is postponed, registrations will normally transfer to the new date. Attendees will be advised of any available cancellation or refund options.

If the Conference is cancelled and no replacement event is provided, Conference registration fees paid to ANZAAE will be refunded.

To the extent permitted by law, ANZAAE and Icon Conference and Event Management are not responsible for travel, accommodation or other costs or losses resulting from cancellation, postponement, relocation, programme changes or a change in format.

Consumer rights and governing law

Nothing in these terms and conditions limits any rights or remedies that cannot legally be excluded under New Zealand law.

Where Conference services are acquired for business purposes and the law permits the parties to contract out of provisions of the Consumer Guarantees Act 1993 or Fair Trading Act 1986, the parties agree that those provisions will not apply and that it is fair and reasonable for them to be excluded.

These terms and conditions are governed by New Zealand law.

Acceptance

By completing a registration, the attendee – and anyone completing the registration on their behalf – confirms that they have read, understood and accepted these terms and conditions.
